Spa Membership & Membership Terms and Conditions

The Spa at Woolley Grange allows you to treat yourself to complete pampering. The facilities include four treatment rooms, adults only outdoor hot tub, a relaxation area, indoor pool, seasonal outdoor heated pool, sauna and steam room and family changing area.

Membership

The Spa at Woolley Grange is dedicated to providing our members with an environment for all to enjoy whilst promoting relaxation and well-being. In order to derive maximum benefit from this environment we feel it
is important to outline our expectations of each other. The Spa is open to members, residents of Woolley Grange, and Spa days.

The Spa at Woolley Grange is run by the management of Woolley Grange Hotel and is located at Woolley Green, Bradford-on-Avon, Wiltshire, BA15 1TX.

The Spa reserves the right to amend the opening hours, whennecessary, without prior notice. Every endeavour will be made however to provide advance warning of any changes to the published opening times.

Last entry to the Spa will be restricted to 30 minutes before the published closing time and the pool will close 10 minutes prior to the published closing time to allow time for changing.

Children

Child members are welcome at the Spa at Woolley Grange and can use the indoor and outdoor pools at any time during opening hours, subject to membership type. Child member must be accompanied by an adult member (if
accompanied by an adult non-member the guest pass or payment is required).

An adult member must sign in their children (and their guests) at Spa reception.

Guest passes are per person whether adult or child.

Children under the age of 16 must be always accompanied by an adult whilst using the Spa facilities.

The sauna and steam rooms are for 16 years and over only.

When applying for membership each applicant must complete our standard application form and accept and agree to be bound by the terms and conditions of the membership and any other rules as laid down by the Spa from
time to time. The payment of a joining fee is required to secure the membership. This is a one-off payment whilst the membership is ongoing.

We reserve the right in our absolute discretion to decline an application for membership or refuse admission without giving any reason for doing so.

Any person aged 16 years and over is classed as an adult member.

The membership and joining fee structure have been fixed by the management and may be amended at any time; however, members will be notified in writing at least one month prior to the change.

Any member who fails to comply with the conditions and rules of membership or abide by the instruction of the Spa management or who conducts themselves in an inappropriate or disruptive manner may have their membership immediately terminated.

Prospective members are required to complete an application form and medical/lifestyle questionnaire before the commencement of their membership.

Once a membership application has been accepted, members will be provided with a membership card, which remains the property of the Spa at all times and will be returned to the Spa upon termination of the membership. All members must present their card on arrival at the Spa; this will be used to give entry to the changing facilities and pool hall. The card cannot be transferred or used by non-members.

Lost or replacement membership cards will be charged at £5 per card.

Any changes to membership details such as name, address, and medical conditions must be communicated in writing to the Spa Manager as soon as possible.

All monthly membership fees are payable by credit/debit card, through our payment provider.

Membership is a 12-month contract with Luxury Family Hotels (Woolley Grange) Ltd. You may cancel your membership with one clear months’ notice given in writing. Please also refer to the direct debit terms and conditions.

Treatments

Treatments will incur additional charges as published in our standard price lists. Advanced bookings are usually required for treatments.

To cancel a booking at least 48 hours’ notice is required. If you or your guests cancel any appointment with less than 48 hours' notice or fail to attend an appointment, a cancellation fee will be incurred for the full cost of the treatments booked. To reschedule an appointment, we require at least 24 hours’ notice.

Full payment upfront will be required to secure a reservation.

You will be required to complete a medical/treatment consultation form prior to your treatment.

Junior experiences are suitable for guests under 16 years old and must be accompanied by an adult.

Pool usage

Members and their guests use the swimming pools at their own risk. No running, jumping, diving, or acrobatics in or around the pool area is permitted. We do not allow inflatables or ball games at any time. Inflatable baby seats are to be used at your own risk and are not provided by the Woolley Grange Spa. It will be necessary for the pool to be closed at certain times without prior notification to carry out essential maintenance and cleaning, however we will always try to notify you via our text messaging service. Please note if the pool reaches capacity level the Spa team reserve the right to refuse entry.

Members guests

We would be delighted to welcome guests of our members to use the Spa. For the comfort of our members, you may bring a maximum of 2 guests per visit, regardless of the total amount of people on your membership and these must be booked in advance via the Spa reception. Guest passes are subject to availability. Guests can stay by the pool for up to 4 hours from when they are signed in.

Only named spa members are able to gain access to the facilities. Membership card cannot be transferred or used by non- member, even if they are members of the same household. Please refer to the join membership section for more information.

The appropriate guest fee must be paid before using the facilities or a valid guest pass given for each guest. If no pass is given, then the adult guests will be charged at £12 per person and each child at £7 per person per visit to use Spa. This is payable at the Spa Reception before entering the Spa facilities.

All guests will be required to register at reception and must be accompanied by a member and must not remain in the Spa after the member has left the premises. Members are responsible for the behavior of their guests and ensure that they abide by the rules and etiquette of the Spa, also ensuring all costs incurred by the guest are settled before departure.

We reserve the right in our absolute discretion to refuse guest admissions. Admission to guests who have previously had their membership terminated or refused will be denied. Guest passes that have expired are no longer valid for entry.

Payment/Discount

Members must produce their membership card to have discounts in the Spa and hotel.

We do not offer members accounts; therefore, all bills must be settled prior to departure.

Smoking

The Spa is a non-smoking/ non-vaping environment.

Dress Code

Appropriate clothing must be worn in the relevant areas of the Spa. Swimming costumes are required in the sauna and steam room.

We kindly ask that members and children use the changing rooms provided and do not change in the communal areas.

Outdoor shoes are not permitted in wet Spa areas. Please remove shoes and socks prior to entering the changing area or use the blue shoe covers provided.

Food and drink

Only food and drink purchased at Woolley Grange Hotel can be consumed by the outdoor swimming pool. Regrettably, we do not allow food in the indoor pool hall.

Dogs

Dogs are welcome at Woolley Grange; however, they are not allowed by the outdoor pool at any time unless they are registered guide dogs.

Dogs are not permitted in the Spa at any time and additionally, they are not permitted in the main dining room or orangery, the Walled Garden or the children’s play area by the Hen House. They may join you on the terrace or in the smaller dining room.

We do not have areas for dogs to be tied up or looked after by staff.

Lockers

The Spa provides lockers for daily use.

Property stored in lockers is done so at the owner’s own risk. Items left overnight will be removed and held in the spa for one week only and then held securely in the hotel for up to 3 months in lost property.

Mobile Phones and Cameras

The Spa is a mobile-free zone. Please turn off all mobile phones upon entering the Spa and lock away in the locker for safekeeping.

No mobile phones or photography equipment are allowed in the pool hall at any time.

Photographs must not be taken in the pool hall, changing rooms or treatment rooms.

Towels

The Spa provides one towel for members to use whilst in the Spa or outdoor pool.

Exclusive Use

There are times when the hotel is booked for exclusive use events. The Spa itself will remain open and available for members. However, the hotel, grounds, Den and the outdoor pool (in the summer months) will not be available during these times. Notice will be given in advance to members.

Liability

All members and guests use the Spa at their own risk. The spa cannot accept liability for any illness or injury resulting from use of the Spa facilities unless this is a result of proven negligence from the Spa.

The Spa accepts no liability for loss, damage or theft of member’s personal property.

Health and Safety

When a membership application is made the member confirms they are in good physical health and that they are capable of all forms of exercise. It is the member’s responsibility to bring to the attention of the Spa team any medical condition or any changes that may present a health risk when using the facilities. It is recommended that members seek medical advice before undertaking any exercise or activity at the spa.

All members must be aware there is no lifeguard on duty, but CCTV is in operation.

All children under the age of 16 must be supervised by an adult, there must always be one adult to two children.

One adult must be in the pool if supervising children under the age of 8.

One adult can watch 2 children 8 years and over from the poolside.

The Spa must be vacated when requested by a member of the Spa team or on the sound of fire alarms. Fire alarms are tested weekly, this is usually done on a Friday.

Members and their guests are not permitted to bring food into the pool hall or changing rooms. Food and drink are not permitted for consumption around the outdoor pool and hotel grounds unless purchased from the hotel.

Members or guests who are or appear to be under the influence of alcohol or drugs will not be permitted into the Spa facilities.

Cancellation/suspension of membership

Should a member wish to cancel their membership, no refund of the joining fee will be made and a notice period of one clear month is required for cancellation of subscriptions.

Members can suspend their membership for a maximum of three consecutive months due to medical reasons or by special request agreed with the Spa Manager.

Members who have not paid their subscription fee within 14 days of the due date will be deemed to have resigned and the membership will be cancelled.

General

The Spa reserves the right to:

• Amend the Terms and Conditions at its sole discretion with or without notice.

• Withdraw all/some of the facilities as required to carry out essential maintenance work.

• Refuse admission and/or cancel membership forthwith if any member shall in our opinion cause a nuisance or annoyance to other Spa members or users of the facilities or in breach of these regulations. A member whose admission is refused and /or whose membership is cancelled shall not be entitled to any refund of the joining fee or annual subscription.
